You’ve fallen in love with your fiancé. Now it’s time to fall in love with your wedding venue. But how do you find the right one? Sure, you can do some research online and look at the image gallery, but until you’re talking to the people who run it you don’t know for sure if it’s the venue of your dreams. When that time comes, knowing the right questions to ask a wedding venue is what separates a confident decision from a costly one.
Knowing how to choose a wedding venue starts with smart inquiries. We hope to give you what you need to feel confident. So what should you ask?
1. Capacity & Layout
Before you fall in love with a space, make sure it complements the wonderful celebration you have in mind. Capacity numbers can be deceptive depending on layout, so go deeper than the headline figure. Following are some of the first questions to ask a wedding venue on any tour.
Ask These Questions
- Does the seated capacity change based on layout (like head table vs. sweetheart table, buffet vs. plated service)?
- Is there dedicated space for the ceremony, cocktail hour, and reception, or will guests sit in the same room for the entire event?
- Can I see example floor plans?
Union Mills Public House has a 3,200 square-foot main event space that can be configured multiple ways depending on your guest count and vision. We’re happy to walk you through layout options and show you how the room transforms.
2. Date, Availability & Contract
It would be a shame if you spent a lot of time researching a venue and envisioning tying the knot there only to discover they don’t have any availability. Better to inquire about it sooner rather than later.
Ask These Questions
- How far in advance do couples typically book, and how booked are you already?
- Do you host multiple events on the same day?
- What happens if something throws a wrench in the plans? Like bad weather, a vendor cancellation, or a venue emergency, as some typical examples.
- What’s in the contract that couples often miss or underestimate?
There’s value in working with a venue that has an established process for the unexpected. A venue that’s been through hundreds of weddings has seen things go sideways and knows exactly how to respond.
3. Catering & Bar
If hidden costs exist at a venue, this is typically where you’ll encounter them. It’s also one of the most important areas of your wedding venue checklist to get right. All-inclusive venues and bring-your-own-vendor venues operate differently. Neither model is bad, but you need to know which you’re dealing with before you sign anything.
Ask These Questions
- Is catering in-house, or can I bring in outside vendors? Are there restrictions on who I can use?
- How is the bar handled? Is it an open bar, consumption-based, or package priced? Is a bartender included?
- Are there cake-cutting fees, corkage fees, or service charges not listed in the base price?
- Is there a tasting before I commit to a menu?
Here’s what these questions to ask a wedding venue are really about: vendor coordination and whether you’ll be managing it yourself. All-inclusive venues absorb that complexity so you don’t have to. There’s no back-and-forth between your caterer and the venue, no surprise line items for things you assumed were included. When a venue handles catering in-house, it’s one less thing standing between you and an enjoyable planning process.
As for Union Mills, we have some primary services that are included, such as custom menus and catering (and yes, you can have a tasting beforehand). While we don’t directly offer services for things like flowers and DJs, we work closely with several trusted vendors. You can discover them on our Preferred Vendors page!
4. Pricing & What’s Included
Couples are most often burned by surprise fees. A venue that can answer the following questions clearly is waving a big green flag.
Ask These Questions
- What’s included in the base rental price? Do you include tables, linens, chairs, lighting, and/or a coordinator?
- What commonly costs extra, like setup, breakdown, overtime, décor, or audio/visual?
- Is there a minimum food and beverage spend?
- When are payments due, and what’s the cancellation and refund policy?
Green flag: A venue that can walk you through an itemized sample contract without hesitation has thought through what couples really need. It’s a sign that the number you’re quoted at the beginning will be close to the number you’re paying at the end.
5. Vendor & Logistics
Knowing how a venue operates behind the scenes will save you a lot of stress come your big day.
Ask These Questions
- Do you have a preferred vendor list, and are you required to use it?
- Is there a dedicated onsite coordinator, or do you need to hire your own planner?
- What does load-in and setup look like and how early can vendors arrive?
- Where does the wedding party get ready? Is there a private suite?
- Is parking available, and is it free for guests?
These aren’t small details. They’re the difference between a wedding day that flows and one that has you fielding texts from your florist at 8:00 AM asking where to park. Ask specifically about getting-ready accommodations and the guest parking situation so nothing is left to chance.
We have great answers for every question, but we want to keep the focus on giving you the questions to ask no matter what venue you’re touring. But if you reach out to us, we’re more than happy to answer all of these questions and then some.
6. Questions Most Couples Forget to Ask
These are the questions to ask a wedding venue that separate experienced planners from first-time couples. Add each one to your wedding venue checklist before your next tour.
Don’t Skip These
- Can we do a walkthrough at the exact time of day our wedding will take place, so we can see the lighting?
- Who is our point of contact on the day of, and what’s the contingency if they’re unavailable?
- What time does the venue close, and what are the overtime fees if the night runs long?
- Have you hosted a wedding with our guest count, layout preferences, or other needs?
These are the questions that tell you whether a venue has truly thought through the experience it’s offering; the best venues have already built the answers into how they operate.
We invite you to get in touch and ask us any of the questions we’ve outlined. We’re happy to answer them, and we think you’ll like our answers!
What Good Answers Look Like
As you work through how to choose a wedding venue that’s right for you, use this list as your filter. Pay attention not just to what they say, but how they say it. Good answers are specific, delivered without hesitation.
Here’s a quick way to read the room during any tour:
- Confident, detailed answers = green flag
- Answers that require a follow-up email to confirm = yellow flag
- “We’ll figure that out closer to the date” = red flag
The right questions to ask a wedding venue will always tell you more than the photos did. The venues worth booking have already thought through what you’re asking.
